Job Description:
Join our prestigious law firm client in Nashville as an Administrative Assistant working closely with the Practice Coordinator supporting the monthly billing process. This role involves preparing, tracking, and coordinating pre-bills for timekeepers, ensuring accuracy in edits, and facilitating timely approvals. We are seeking a reliable, proactive individual, with a commitment to exceptional client service, professionalism, and adeptness in engaging with all levels of personnel. The ideal candidate will be detail-oriented, proactive, and comfortable communicating with attorneys and staff regarding billing matters.

PRIMARY RESPONSIBILITIES

  • Assist the Practice Coordinator in managing the monthly billing cycle.
  • Generate and distribute pre-bill links for timekeepers' review and approval.
  • Identify the appropriate timekeeper responsible for reviewing each pre-bill for edits.
  • Draft and send email reminders to timekeepers requesting timely review and submission of edits.
  • Track and follow up on outstanding pre-bills to ensure deadlines are met.
  • Maintain accurate records of communications and approvals related to billing.
  • Collaborate with the Practice Coordinator to resolve discrepancies or escalate billing issues when necessary.
  • Provide general administrative support to the practice group as required.
KNOWLEDGE AND SKILL REQUIREMENTS
  • 1+ years of administrative support experience in a professional services environment.
  • Exceptional customer service skills.
  • Excellent data-entry and organizational skills.
  • Careful attention to detail
  • Ability to work well as a team member as well as independently.
  • Ability to use good judgment, initiative, and command of resources to accomplish results.
  • Flexibility and ability to prioritize, plan and organize a continually changing workload.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); familiarity with billing/timekeeping software a plus.
Physical Requirements:
  • Ability to work in an office environment and perform tasks that may require sitting, standing, and using office equipment.
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time


The Compensation range for this role is 27.15 per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
