Summary

Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, time tracking, flow of correspondence, requisition of supplies, light bookkeeping duties as well as additional clerical duties. General knowledge of office equipment and computers is necessary.

Essential Functions

Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.

Greets and directs clients and visitors.

Coordinates the pick-up and delivery of mail as well as client information.

Generates client correspondence.

Delivers bank deposits to local banks.

Enters data into QuickBooks, Excel and other software.

Creates day to day invoices as well as assisting with end of month billings.

Assists in the ordering, receiving, stocking and distribution of office supplies.

Assists with other related clerical duties such as photocopying, faxing, filing and scanning.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.

Required Education and Experience

High school diploma.

Two years of administrative experience.

General knowledge of Microsoft Office.

Additional Eligibility Qualifications Preferred

General knowledge of Quickbooks.

Bilingual.
